Privacy Policy

How Odoo Community Discuss processes and protects the information used to connect you with your organization’s Odoo environment.

Odoo Community Discuss (“we,” “our,” “us,” or the “App”) is an Odoo-based communication and chat application designed to allow users to access and communicate through their organization’s Odoo environment.

1. How the App Works

Odoo Community Discuss is designed to work with an organization’s existing Odoo environment.

Before using the App, you may be required to provide:

  • Your organization’s Odoo host URL;
  • The applicable Odoo database;
  • Your Odoo email address; and
  • Your Odoo password or other required authentication credentials.

The App communicates with our Laravel-based API layer, which acts as an intermediary between the mobile application and the organization’s Odoo services.

Our Laravel API uses authenticated requests and token-based authentication, including Laravel Sanctum, to securely manage communication between the App and our API services.

The App does not operate as an independent chat database. Chat and business data are retrieved from and communicated with the relevant Odoo environment through our API layer.

2. Information We Process

Depending on how your organization’s Odoo environment is configured and how you use the App, the following categories of information may be processed.

Account and Profile Information

This may include:

  • Name;
  • Email address;
  • Profile photograph;
  • Odoo user/account information;
  • Organization-related information;
  • User identification information; and
  • Other profile information already stored in your organization’s Odoo database.

Chat and Communication Data

The App may process information associated with your Odoo conversations, including:

  • Text messages;
  • Conversation information;
  • Message timestamps;
  • Message status;
  • Participants or contacts;
  • Attachments;
  • Images;
  • Videos;
  • Audio files;
  • Documents; and
  • Other content exchanged through Odoo Discuss.

This information is associated with your organization’s Odoo environment and is not independently maintained by Odoo Community Discuss as a separate chat database.

Odoo Data

The App may display or process other information made available to the authenticated user through the organization’s Odoo services.

The exact information available to you depends on your organization’s Odoo configuration and the permissions assigned to your Odoo account.

3. Where Your Chat Data Is Stored

Your organization’s Odoo database is the primary source and storage location for the chat and business information accessed through the App.

Messages, conversations, attachments, user profiles, and other Odoo-related information remain within the relevant Odoo environment according to the organization’s Odoo configuration, hosting arrangement, retention policies, and applicable policies.

We do not use a separate third-party chat database to independently store your Odoo conversations.

Our Laravel API acts as an intermediary to facilitate communication between the App and Odoo.

4. Local Storage and Caching

To improve application performance and provide a smoother user experience, the App may temporarily cache certain information locally on your mobile device.

Local cached information may include previously accessed conversations, messages, profile information, application state, or other data required for normal application functionality.

We use secure local storage/database mechanisms intended to protect locally cached information from unauthorized access.

Local caching does not replace your organization’s Odoo database as the primary source of your account and chat data.

The availability and lifetime of locally cached information may depend on application behavior, logout actions, device storage, application removal, and other device-level events.

5. Authentication and Security

Authentication is based on your organization’s Odoo account.

The App uses our Laravel API layer to communicate with Odoo services. Authentication between the App and our API uses token-based authentication, including Laravel Sanctum where applicable.

Your Odoo credentials are used to authenticate you with the services required to access your organization’s Odoo environment.

We implement reasonable technical and organizational measures designed to protect information against unauthorized access, alteration, disclosure, or destruction.

However, no method of electronic transmission, storage, or authentication can be guaranteed to be completely secure.

You are responsible for keeping your Odoo login credentials confidential and for using a secure device to access the App.

6. Real-Time Messaging

Odoo Community Discuss uses real-time communication technologies, including WebSocket-based communication, to receive updates and facilitate real-time chat functionality.

Real-time chat information is communicated through our Laravel API layer and the relevant Odoo services.

This functionality allows the App to receive new messages and other relevant conversation updates without requiring the user to manually refresh the conversation.

7. Push Notifications

The App uses Firebase Cloud Messaging (FCM) to provide push notifications.

Push notifications may be used to notify you about events such as:

  • New messages;
  • Conversation activity;
  • Mentions or other relevant communication events; and
  • Other notifications supported by the App.

To deliver push notifications, Firebase may process information such as device or installation identifiers and notification-delivery information. The exact information processed by Firebase can depend on how the notification service is configured.

Firebase provides security and privacy documentation describing the information processed by its services.

We do not use Firebase as our primary database for your Odoo chat history.

Firebase is used as a supporting service for push notification functionality.

8. Use of Your Information

Information processed through the App may be used to:

  • Authenticate your account;
  • Connect you to your organization’s Odoo environment;
  • Display your Odoo profile and account information;
  • Retrieve and display conversations and messages;
  • Send and receive chat messages;
  • Display files and attachments;
  • Enable real-time communication;
  • Deliver push notifications;
  • Maintain application functionality;
  • Improve application reliability and performance;
  • Protect the App and its services against unauthorized or abusive activity; and
  • Respond to support, security, or privacy-related requests.

We do not use your Odoo chat data for unrelated advertising purposes.

9. Third-Party Services

The App relies on certain technology and infrastructure providers to provide its functionality.

Odoo

Odoo provides the underlying business and communication platform where your organization’s data, users, conversations, and files are maintained.

Your organization’s Odoo administrator or organization generally determines how the Odoo environment is configured and managed.

Laravel API Infrastructure

Our Laravel-based API acts as an intermediary between the mobile App and Odoo services.

It processes requests necessary to authenticate users, retrieve Odoo information, send information to Odoo, and provide application functionality.

Firebase Cloud Messaging

Firebase Cloud Messaging is used to deliver push notifications to your device.

Firebase may process device or installation identifiers and other information required to deliver notifications.

We do not use Firebase as the primary storage system for your Odoo chat history.

10. Data Sharing

We do not sell your personal information.

We do not share your Odoo chat history with unrelated third parties for advertising or commercial profiling.

Information may be processed by:

  • Your organization and its authorized Odoo administrators;
  • Odoo or the hosting provider responsible for your organization’s Odoo environment;
  • Our Laravel/API infrastructure providers, where necessary to operate the App;
  • Firebase, where necessary to provide push notification functionality; and
  • Service providers where disclosure is reasonably necessary to provide, secure, maintain, or support the App.

We may also disclose information where required by applicable law, legal process, court order, or to protect the rights, security, and property of our users, organization, or services.

11. Data Retention

Because Odoo Community Discuss operates with your organization’s Odoo environment, retention of your Odoo account information, conversations, files, and other business data is primarily determined by the organization that operates or controls the relevant Odoo environment and its applicable Odoo configuration and retention policies.

We do not independently establish a separate retention period for your organization’s Odoo chat history through the App.

Certain technical information required to operate and secure our services may be retained for as long as reasonably necessary for the relevant purpose, subject to applicable law and our operational requirements.

Local cached data may remain on your device until it is removed by the App, cleared through application behavior, removed during logout where applicable, deleted by the operating system, or the App is uninstalled.

12. Your Privacy Rights

Depending on your location and applicable law, you may have rights regarding your personal information, which may include:

  • The right to know what personal information is processed;
  • The right to request access to your personal information;
  • The right to request correction of inaccurate or incomplete information;
  • The right to request deletion of personal information where applicable;
  • The right to request restriction of processing in certain circumstances;
  • The right to object to certain processing activities;
  • The right to data portability where applicable; and
  • Other rights provided by applicable privacy or data protection laws.

The availability of these rights depends on the applicable law, the nature of the information, and the role of the organization controlling the relevant Odoo data.

13. Account Deletion

Odoo Community Discuss currently does not provide an in-app “Delete Account” function.

This is because the App uses your organization’s Odoo account and Odoo environment rather than maintaining an independent user-account database for the chat service.

If you want your Odoo account to be deleted, deactivated, or your Odoo data to be removed, you should contact the organization or company that manages your Odoo environment.

The organization that controls your Odoo database may be responsible for managing your Odoo account and the associated data.

14. Children’s Privacy

Odoo Community Discuss is intended for use in professional and organizational environments.

The App is not specifically directed toward children.

We do not knowingly seek to collect personal information from children through the App. If you believe that a child has provided personal information inappropriately, please contact us so that the matter can be reviewed.

15. International Data Processing

Depending on your organization’s Odoo hosting arrangement, our infrastructure, and the third-party services used by the App, information may be processed or stored in countries other than the country where you are located.

Where applicable, such processing is subject to the safeguards and requirements imposed by relevant data protection laws.

The actual location of your Odoo data may depend on where your organization hosts its Odoo environment.

16. Security

We take reasonable steps to protect information processed through the App.

These measures may include:

  • Authenticated API communication;
  • Token-based authentication;
  • Secure communication channels;
  • Access controls;
  • Secure local storage mechanisms;
  • Server-side authentication and authorization controls;
  • Protection of API endpoints; and
  • Security measures applied to supporting infrastructure.

Despite these measures, no application, server, network, or electronic transmission can be guaranteed to be completely secure.

If you believe that your account or information has been compromised, please contact us as soon as possible.

17. Changes to This Privacy Policy

We may update this Privacy Policy from time to time to reflect changes in the App, our services, applicable laws, security practices, or third-party services.

When changes are made, we will update the “Effective Date” shown at the beginning of this Privacy Policy.

We encourage you to review this Privacy Policy periodically to remain informed about how information is handled.

19. Important Information About Your Organization’s Odoo Environment

Odoo Community Discuss provides an application interface for accessing your organization’s Odoo services.

Your organization may have its own privacy policy, data retention policy, security requirements, and terms governing the use of its Odoo environment.

Where your organization’s policies apply to information stored in its Odoo database, those policies may apply in addition to this Privacy Policy.

You should contact your organization’s Odoo administrator for questions about how your organization manages, retains, exports, modifies, or deletes information stored in its Odoo environment.
